JOB SUMMARY:

Provides coordination of Leave of Absence process for FMLA, Non FMLA, and Military Leave of Absence requests in compliance with FMLA, ADA, and HIPAA regulations and company policy. The Human Resources Leave of Absence Specialist supports company goals by focusing on personal and departmental accountability, customer service standards and Human Resource Management best practices

RESPONSIBILITIES/ACCOUNTABILITIES:

  • Serves as primary contact for assigned client group for information on Circle K’s Leave of Absence Policy and Procedure.
  • Establishes Leave of Absence Claims and determines eligibility for FMLA status. Creates and delivers LOA forms electronically to claimant’s department and to the claimant’s home address via USPS in a timely manner.
  • Follows up with claimant to facilitate the submission of required LOA documentation requirements following predetermined timeframes and procedures.
  • Reviews applications for Leave of Absence and medical certification documentation for completeness and accuracy. Communicates with claimant and/or claimant’s Health Care Provider to request clarification or additional information.
  • Communicates approval status and on-going procedural requirements to LOA claimant and claimant’s manager.
  • Provides salary and benefit deduction data to Short Term Disability Carrier. Communicates leave approval status to STD carrier and authorizes carrier to evaluate STD claim for payment.
  • Coordinates the return of STD eligible LOA claims to in-house management process for leaves continuing beyond the maximum short-term disability benefit period.
  • Communicates pertinent information regarding claimant’s leave of absence status to the payroll and benefits departments to ensure that claimant’s pay status and benefit deductions are current.
  • Follows up on expected return to work status dates and requests medical recertification as warranted.
  • Coordinates the production, delivery and processing of Fitness for Duty documents at the request of Human Resource Managers.
  • Proposes solutions and resolves issues proactively in accordance with research findings, company policy, FMLA and ADA regulations and escalates issues following established protocols.
  • Reviews return to work status documents from health care provider. Communicates return to work dates to claimant’s manager. Facilitates discussion with managers when a return to work requires a temporary accommodation of work restrictions.  Escalates return to work approval to Human Resource Manager when return to work restrictions are significant or long term.
  • Ensures that LOA related data is current in HRMS database.
  • Creates electronic files for each Leave of Absence claim and coordinates the movement of all LOA related emails, documents, faxes, invoices, etc. to claimant’s electronic file. Moves closed LOA folders to secure long term electronic storage.

KNOWLEDGE, SKILLS AND OTHER QUALIFICATIONS REQUIRED:

  • Ability to effectively manage multiple priorities and follow established procedures in a fast paced, time sensitive environment.
  • Ability to effectively explain complex policies and procedures to a wide audience.
  • Two-Three years of experience as a Leave of Absence Coordinator or related Human Resource position
  • Working knowledge of FMLA, ADA and HIPAA Laws preferred.
  • Minimum of one year of database data entry and retrieval. Experience with Peoplesoft or Workday HRMS a plus.
  • Intermediate skill level with Microsoft Office Word, Excel and Outlook.
  • Proven ability to work independently and in a team environment.
  • Excellent oral and written communication skills.
  • Well-developed research and data analysis skills.
  • Ability to maintain a professional demeanor when experiencing shifting priorities and changes to the work environment.
